Getting Started

Create an account, open Start new review, and upload the opportunity documents or paste the key solicitation text. Free accounts are best for quick first-pass qualification. Pro adds saved workspaces, Company Profile, Knowledge Base, and reusable company context.

Account Setup Checklist

Create an account, set up reusable context if you use Pro, then run a small number of real reviews and share what felt clear, risky, or confusing.

  • Create an account.
  • Complete the Company Profile.
  • Upload 1-3 Knowledge Base documents if applicable.
  • Review at least two RFPs, RFQs, grants, bids, or similar opportunity documents.
  • Submit product feedback with the product feedback form after using the workflow.
  • Contact support with account email, page, error message, file type/size, and approximate time for access or technical issues.

Important Caveats

  • Verify deadlines, submission instructions, and procurement requirements manually before acting.
  • Do not upload highly sensitive documents unless comfortable using them in RFP Copilot.
  • Use the paste-text fallback if upload fails or a PDF cannot be read.
  • RFP Copilot is decision support, not legal, procurement, or compliance advice.

Before You Upload Documents

Please do not upload highly sensitive, confidential, regulated, privileged, or legally restricted materials unless you have permission and are comfortable storing them in RFP Copilot.

Start with public RFPs, grants, bids, redacted prior proposals, realistic sample documents, capability statements, service descriptions, case studies, or other non-sensitive company materials.

Avoid uploading confidential client information, private financial records, Social Security numbers, sensitive personal data, legally privileged material, regulated health, education, or government-protected data, trade secrets, or documents you do not have permission to use.

RFP Copilot is a decision-support tool. Always manually verify deadlines, submission instructions, compliance requirements, and final pursuit decisions.

Upload Limits and Paste Fallback

Project intake accepts up to 10 MB per file and 10 MB total per source package. If a package is larger, use a smaller file or paste the most important source text into the pasted-text fallback.

If a PDF Cannot Be Read

Scanned, image-heavy, encrypted, or unusual PDFs may not extract cleanly. If the result says the file could not be read, export a cleaner text-based PDF, paste the solicitation text, or upload the source text in a simpler format when available.

Free and Pro Usage Limits

Free includes two opportunity reviews. Reopening an already completed review should not use another review, but a new opportunity review can count against the active limit.

Billing Help

Billing checkout and subscription management run through Stripe. If billing does not look right in your account, email billing@rfp-copilot.com with the account email and approximate checkout time.

  • Active Pro means paid features are available.
  • Scheduled cancellation keeps Pro active until the period end date.
  • Canceled subscriptions return the account to Free access.
  • Past-due subscriptions need payment attention before Pro access continues.

Company Profile and Knowledge Base

Company Profile stores reusable context about your services, capabilities, past performance, constraints, and preferences. Knowledge Base stores approved company materials for read-only advisory lookup during analysis. Both are Pro features. Only add materials you have permission to use and are comfortable storing in RFP Copilot; redacted or realistic sample documents are fine.

What Proceed with Caution Means

Proceed with caution means the opportunity may still be worth pursuing, but the product found risks, missing facts, proof gaps, or conditions your team should resolve before committing full proposal effort.

Treat those risks and next steps as review prompts. They are meant to help your team decide what to verify, not replace judgment or source-document review.

Human Review and Deadline Verification

RFP Copilot is decision support, not a substitute for procurement review. Always verify deadlines, submission instructions, compliance requirements, pricing, attachments, addenda, and final bid decisions against the source document before relying on the output.

Marketing Email

Marketing emails include an unsubscribe link in the Beehiiv email footer. If you ask support to unsubscribe you manually, we will locate the email in Beehiiv and mark it unsubscribed. Supabase marketing consent is not used as an independent marketing send list after a Beehiiv unsubscribe.

Privacy and Data Requests

For access, deletion, privacy, or data questions, email legal@rfp-copilot.com from the address tied to the account when possible. See the Privacy Policy for more detail.

Product Issues

For upload, account, recommendation, or workspace issues, include the page you were using, what you expected, and what appeared instead. Do not send sensitive procurement material by email unless it is necessary for support.

Helpful details include the account email, approximate time, browser, file type and size, plan state, visible error message, and whether the issue happened during upload, analysis, billing, Company Profile, or Knowledge Base setup.
